Raptor Transcript Processing Tool
Indiana University is using AI to create a better transcript experience for students and families.
High school and college transcripts are critical to the admissions process. At IU, all undergraduate admissions transcripts are received, moved into OnBase, and reviewed and entered by University Enrollment Services (UES) into the system of record, PeopleSoft. This process has evolved over the last several years by using Optical Character Recognition (OCR) templates and XML imports to reduce the amount of manual data entry.
As of August 2024, IU is using an AI product, Raptor, a SmartPanda tool, to document receipt of the college transcripts, extract academic data, and import this data into the PeopleSoft. This process is completed with limited human interaction, allowing the UES team to focus on quality assurance instead of manual entry.
Phase I of the Raptor high school transcript project launched November 14, 2024, which will extend the work completed during the college transcript implementation by extracting and importing academic data directly into PeopleSoft, which will also complete admissions checklist items for students to view in their respective application portal.
Phase II of the Raptor high school transcript project will allow IU to extract specific course data (e.g., courses, grades, etc.) and import it directly into students’ records. This will allow IU to quickly and seamlessly leverage course-level data to make admissions decisions and research student preparedness for student success. This work is expected to be complete by August 1, 2025.
